We respect your privacy and understand that privacy is important to you and that you care about how information about you is used, so this privacy notice sets out details about what data is collected and how it will be used when you use this app.
Where your data has already been uploaded to the app
Where you have been provided with login credentials to the app, the event organiser has arranged for basic information to be pre-loaded into the app. This information will have been supplied by the event organiser to CrowdComms and will be limited to the minimal amount of information needed for the purposes of setting up the app (e.g. your name and email address).
CrowdComms will have only used this information to setup the app and will have deleted the information once it has been uploaded.
Where your data hasn’t been preloaded into the app
If you were not provided with login details for the app, you may be asked to create an account within the app to enable you to login and access the functionality of the app. The data collected will be the minimal amount of information needed to set up your account and it will be clear to you when the data is collected what it will be used for.
Your data stored within the app
By using the app, whilst you may be asked the minimal amount of information to maintain access to the app, it is possible that other data may be collected from you within the app during your use of it.
All data collected within the app (or pre-populated where applicable) is stored within the app database which is accessible by the event organiser. Only an admin user will have access to your data via this system. The database is hosted by Amazon Web Services, located in Frankfurt, Germany.
Data stored from your use of the app functions
Where the app provides it, various pieces of other data may be collected and stored (within the app database), from your use of it. This will include:
Anything you post to the activity wall
Your questions (where they have not been submitted anonymously)
Your votes during a live voting session
Your responses to in-app surveys
Use of cookies
The app uses cookies for the purposes of remembering your login credentials so that you do not need to login every time you use the app. These cookies only retain anonymous session data and do not include any personal information and will be stored on your device.
What happens to your data after the event ends?
When the event has ended, your data will typically be kept within the app database for up to 12 months unless requested otherwise by the event organiser. CrowdComms, may, at the event organiser’s request provide exports of the data recorded from app usage. All sharing of data will be done so securely.
Your rights
Under current data protection legislation in the UK, you have rights as an individual which you can exercise in relation to the data stored and processed about you. You can find more information about your rights on the Information Commissioner’s website: https://ico.org.uk/for-the-public/
Complaints
If you want to make a complaint about the way your data is being processed by the event organiser, or to object to the way it is being processed, you should contact the event organiser. You also have the right to complain to the Information Commissioner’s Office: https://ico.org.uk/concerns/
Erasure of your data (the “right to be forgotten”)
If you would like your data deleted then you can contact either the event organiser or CrowdComms directly by emailing the Darta Protection Officer at [email protected]
Portability
Your right to portability allows you to request a machine-readable format of the data you supplied to us and associated service logs (where we store them). You can exercise this right by emailing your request to the CrowdComms Data Protection Officer [email protected]
Access to your data
You have the right to ask the event organiser about what data they hold about you, how it is processed and to provide you with a copy of the information, free of charge and within one month of your request.
You should contact the event organiser’s data protection manager to request such information.
Disclosure of information
CrowdComms will not share any personal data with any third parties unless it is lawful for them to do so, if required by law to do so or if you provide them with permission to do so.
