Background
EDF’s ND team runs a high-profile collaboration event bringing together internal stakeholders and network partners. With multiple data capture requirements, strict internal processes, and zero error tolerance, the team needed a registration and badging solution they could trust completely.
Event Goals
EDF prioritised reliability and control, needing a solution that would remove delivery stress while ensuring data accuracy without demanding extensive training.
- Capture all attendee data upfront in a single registration journey
- Maintain a single source of truth for event planning
- Manage the platform independently with no formal training
- Deliver smooth onsite badging and check-in
- Reduce administrative time and email follow-ups
Challenges
- Previous event iterations showed that manual processes failed to scale adequately. Managing registrations, dietary preferences, accommodation needs, and attendee data via spreadsheets and email required excessive resources and introduced unnecessary risk.
- With multiple data capture requirements, strict internal processes, and zero error tolerance, EDF needed a solution that removed delivery stress while ensuring data accuracy without demanding extensive training.
Solution
CrowdComms delivered a streamlined, self-managed registration and badging setup designed to eliminate friction, reduce administrative time, and minimise unnecessary communication.
One-and-done registration: rather than follow-up emails and manual information capture, EDF captured everything upfront through a single comprehensive registration journey gathering attendance confirmation, dinner and dietary requirements, accommodation needs, and department and organisation details for badging. This substantially reduced email follow-ups, manual updates, and last-minute modifications.
Enterprise-grade data management: the CrowdComms database became the event planning backbone. Instead of relying on spreadsheets and email searches, EDF maintained a single source of truth with easy data exports for catering, accommodation, and onsite logistics, clear visibility of incomplete or inconsistent responses, exception-based issue resolution, and targeted reminder emails for specific attendee groups. From 200+ registrations, fewer than a handful required follow-up, a significant reduction versus previous editions.
Intuitive event platform, zero training required: building on the existing CrowdComms setup, the EDF team managed the platform immediately without formal training. The dashboard provided instant visibility of registrations, responses, and outstanding actions, enabling confident independent management, with support available but rarely required for routine operations.
Onsite badging: CrowdComms produced badges in advance, working closely with EDF to confirm required data points. By aligning registration data with badge requirements early, the onsite experience remained smooth and efficient with everything prepared.
The personal experience: throughout the project CrowdComms functioned as an extension of the EDF team, combining strong technology with responsive human support. Questions, modifications, and last-minute requirements received prompt attention, building trust and allowing the team to focus on the broader event experience rather than registration mechanics.
Outcome
The event delivered 200+ registered attendees with minimal errors, significant time savings through reduced admin and email follow-ups, all event data captured accurately within a single system, and smooth onsite registration and badge distribution. The result was a calm, confident delivery for a complex enterprise event. Most importantly, the solution removed stress from the planning process.
